What is import/export and how to move employees from one Company account to another?


If you ever find yourself in a situation where you need to move employees from one Company account to another, then this can be simplified instead of inserting employees into the new Company account again.

To start off the process, first enter the “Employees” view of the Company account. There, hit the “Export” selection right left to the “Add new employee” button. The system will generate you a .xls worksheet with the employees’ data on the Company account. 

We recommend that you also disable compensations on Account 1 before adding the employees to Account 2. This way you can be sure that employees won’t receive double compensation. A quick way to do this is to tick a mark into the box that selects all employees at once - make sure beforehand at the bottom of the page that you’ve incremented how many employees you can see at once. After you’ve selected all the employees, click on “Compensations” and select “Deactivate compensation”: 

After you’re ready to move on, enter the Company account view of Account 2 and return to the “Employees'' view. Just left from where you selected “Export” you can see “Import from file”, which must be chosen. To continue on, either drag a file or click on the “Drag an Excel file here or browse” box and select a file. When your file upload is complete, the final step is to assign values to the imported data - such as making sure that the employees’ first names match to the first_name column and so on. Keep in mind though that not all properties can be assigned on import, such as compensation plan or compensation balance.

Should there be any errors during the import, then the system will let you know. If the export happens to hang or fail for any other reason, we recommend going over the file to be imported and making sure that the basic data cleaning processes have been done, such as eliminating unnecessary whitespaces and making sure that all cells have values, not formulas in them.

After you get the message that the import was a success, you can either close the import and/or return to the employees’ list. Do keep in mind that since the employees you moved over to the new account already have a personal account of their own, then they must accept an invite on their account in order to join the new Company’s group. The invite can be found in the left-side menu of the personal account’s main view.
