How to use Stebby? Instructions for the company group's administrator
You can create a Stebby account while being in your personal account by clicking on your name at the top right and then choosing "Create New Group". From that view, you can always change the role in the future, because when you log in to Stebby, you are in your personal account at first.
Once your Stebby account has been created, you can begin improving your Company account.
1. Fill out the "Settings" view of the Company's account.
- To ensure proper invoicing, please fill out all the fields to the best of your ability.
- If your company is VAT compliant, then please add a VAT number.
NB! After the administrator has successfully added real funds to the Company's account, the account will be confirmed in our system. After confirmation of the account, certain juridical details can only be changed by Stebby's Customer Support.
- You can add a compensation plan in the "Compensations" view.
- You can create your own compensation plan or use the bottom of the monthly or quarterly plan we provide.
- In the compensation plan, you can specify the amount, period, and categories of Services that employees can purchase and whether they can add receipts.
3. Add funds to your account and order a deposit invoice
- Money can be added in the "Finances" view.
- By clicking the "Add money" button, you can order a deposit invoice for a certain amount and it is also possible to pay directly through the bank link.
- In this view, you can also set up a form of payment by clicking on the entry next to "form of payment" in the left column and making your selection. The most common choice is "Personal responsibility".
- Employees can be added one by one in the "Employees" view, but also with Excel.
- If an employee has previously created a Stebby account, then their account will receive an invitation to join the employer's group, which they must accept.
- If the employee has not had an account before, a letter will be sent to their e-mail address in order to create an account.
5. Be aware of when the company receives invoices for the use of services and how the service fee is formed
- You will see invoices in the "Finances" - "Invoices" view
- For companies with 1-3 employees, a fixed fee of 10 EUR per month is applied. The monthly fee of a Stebby compensation account with four or more employees is 3 EUR per employee. VAT is also applied to the service fee as per the local standard rate.
- The money for the use of the services is taken from the company's account balance on an ongoing basis, therefore it is important that there are always sufficient funds on the Company's account to pay for employees' compensation and the service fee.
